Executive Assistant

What you’ll be doing:

  • Provide high-level administrative support to business leaders, including managing calendars, coordinating meetings, handling email correspondence, and maintaining professional relationships.
  • Coordinate internal and external meetings, ensuring rooms are prepared and materials are organized.
  • Manage complex international and domestic travel, including flights, accommodations, transportation, visas, and detailed itineraries in line with company policy.
  • Liaise with clients, business guests, and vendors; help organize events and ensure a seamless guest experience.
  • Support visitor management, including coordinating security access and serving as a welcoming point of contact.
  • Serve as a backup to the Office Manager, assisting with office operations, project coordination, and day-to-day workplace needs.
  • Process expense claims and raise purchase orders accurately and on time.
  • Prepare meeting materials, including PowerPoint presentations and pre-read documents.
  • Collaborate with IT to resolve tech issues and ensure smooth connectivity for executives.
  • Maintain strong cross-functional relationships with departments across the organization.
  • Lead or assist with ad hoc team initiatives and projects—examples may include managing internal surveys or coordinating special events.

The skills & experience needed:

  • Proven experience as an Executive Assistant, ideally supporting global executives in a dynamic, fast-paced environment.
  • Proficiency in English, both written and spoken.
  • Strong organizational, customer service, and problem-solving skills.
  • Ability to pivot quickly as priorities shift and remain composed under pressure.
  • Comfortable coordinating international travel and managing complex calendars across time zones.
  • Skilled in Microsoft Office and Outlook 365; advanced knowledge of Excel, PowerPoint, and Word.
  • Discreet, detail-oriented, and capable of handling sensitive information with professionalism.
  • Proactive and self-directed, with a track record of working independently.

The salary range for this role in New York is $58,300 - $97,100. Your final base salary will be determined based on several factors which may include but are not limited to location, work experience, skills, knowledge, education and/or certifications.
