About the job 

 

This is a pivotal role within the Office of the CEO, supporting the Global CEO in a fast-paced, high-impact environment. As Executive Assistant, you will be the operational backbone of the executive office, ensuring the CEO’s time, communications, and engagements are managed with precision and purpose. You’ll work closely with the Chief of Staff and team to enable the CEO to focus on business-critical priorities. Based in New York, this global-facing role offers exceptional visibility across senior leadership, strategic initiatives, and transformation programmes. 

 

 

Job Goals 

 

Executive Operations & Scheduling 

  • Own and manage the CEO’s complex global calendar across multiple time zones, ensuring strategic alignment and prioritisation. 

  • Act as the “air-traffic controller” of the CEO’s time, coordinating internal and external commitments with precision. 

  • Manage all aspects of international travel (private and commercial), including visa procurement, ground transport, and contingency planning. 

  • Create and protect “deep work” and recovery time in the schedule in partnership with the Chief of Staff. 

 

Information, Communication & Briefing 

  • Serve as the primary filter for the CEO’s inbox and communications, ensuring timely and appropriate responses. 

  • Draft and refine correspondence, briefing notes, and communications in the CEO’s tone and style. 

  • Collaborate with the Chief of Staff to prepare daily briefings summarising the day’s priorities, meetings, and key decisions. 

  • Coordinate and distribute pre-read materials ahead of meetings, ensuring preparation and clarity. 

 

Stakeholder & Board Engagement 

  • Act as a trusted liaison for the Board of Directors, Executive team, senior leaders, and key external partners. 

  • Manage logistics and materials for board meetings, partner sessions, and executive engagements. 

  • Build strong relationships with C-suite EAs and global stakeholders to ensure seamless coordination across regions and functions. 

  • Uphold the highest level of discretion, professionalism, and confidentiality. 

 

Partnership with Chief of Staff 

  • Work in close collaboration with the Chief of Staff to operationalise strategic priorities. 

  • Support the planning and delivery of leadership offsites, Exec Team meetings, and key transformation initiatives. 

  • Maintain ongoing alignment on the CEO’s priorities, ensuring time and focus reflect evolving business goals. 

 

Office of the CEO Administration 

  • Manage the Office of the CEO’s budget, expenses, and vendor contracts. 

  • Oversee executive office operations, technology, and facilities. 

  • Where applicable, supervise or mentor a junior assistant or other administrative staff supporting the C-suite.

Experience 

  • Extensive executive support for a C-suite leader or equivalent. 

  • Global exposure within complex, matrixed organisations operating across multiple time zones. 

  • Background in fast-paced industries such as professional services, consulting, media, or technology, where discretion and adaptability are essential. 

  • Demonstrated success navigating board and senior stakeholder environments.
